Client service terms
A plain-English overview of the contract structure, scope, fees, responsibilities and service boundaries.
Version 1.0 · Effective 25 August 20261. Who these terms are with
These business-to-business terms are between Lead Systems Studio ('we', 'us') and the business named on an Order Form ('you'). The contract consists of the Order Form, signed change orders, detailed Client Services Terms, data-processing schedule and referenced policies. Marketing pages, demonstrations and forecasts are not contractual promises unless repeated in the Order Form.
2. What we provide
Depending on the package and signed scope, we capture, acknowledge, classify, qualify, route, follow up and book enquiries across the channels in your package. We configure the service to rules you approve at onboarding and keep it running.
We are not an emergency service and do not provide trade diagnosis, legal advice, lead generation or a guarantee that an enquiry becomes paid work. The client remains responsible for trade work, prices, attendance, consumer contracts and emergency information.
3. Fees and payment
Fees, allowances and third-party costs are those in the signed Order Form. Current standard package reference prices are £79 for Get Found, £197 for Never Miss a Job and £347 for Fully Booked per month, with setup at £495, £995 and £1,500 respectively. A limited number of founding clients are onboarded with setup reduced by half, to £250, £495 and £750; founder rates are withdrawn once the available places are filled. The setup fee is waived where the client chooses a 12-month minimum term. Where the client has taken the optional £500 Lead Leak Audit, it is credited against setup when the client proceeds within 30 days, with any balance applied to the first monthly fee. Fees are exclusive of VAT and payable monthly in advance.
Direct provider usage charges—including phone minutes, number rental, messaging, transcription, AI usage and premium connectors—are separate and itemised. A spending cap and usage alerts are agreed before launch.
4. Cancelling
The standard public offer has a 60-day initial term, or a 12-month term where the setup fee is waived. The actual term, notice, export window, deletion schedule, transition assistance and early-termination rights are stated in the Order Form and detailed terms. After the initial term, the current standard position is 30 days' written notice.
5. What we need from you
We need accurate triage rules, job durations, prices and availability, working access to scheduling software or calendars, and a monitored escalation contact. If those change and you do not tell us, the service will keep following the old rules.
You confirm you are entitled to route business calls to us and have them recorded, and that you will tell your customers where your notices require it.
6. Service availability
We aim for continuous availability and monitor the service. We depend on third-party carriers, client software and networks and are not liable for their outages. Planned maintenance affecting answering is scheduled out of hours and communicated first.
7. Bookings made on your behalf
The service books work according to your approved rules, but your business carries out the job. Quotes and prices are those you supplied. You remain responsible for the work, honouring bookings and anything agreed with the customer afterwards.
8. Liability
Nothing limits liability for death or personal injury caused by negligence, fraud or anything else that cannot lawfully be limited. Subject to that, neither side is liable for lost profit, business or goodwill, and our total liability in any twelve-month period is capped at fees paid in that period.
9. Confidentiality and data
Each side keeps the other's commercial information confidential. Personal data in calls, texts and bookings is handled under the privacy notice, with the client normally controller and Lead Systems Studio processor for end-customer data. AI use and authority boundaries are described in the AI transparency policy.
10. Changes to these terms
We may update these terms and give 30 days' notice of a change that materially affects you. If you do not accept it, you can cancel within that period without penalty.
11. Company details
Lead Systems Studio Ltd is registered in England & Wales, company number 17426263. Registered office: 2 Barley Close, Whalley, Lancashire, BB7 9XY.
12. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
